THE LIBRARY, AT YOUR PACE

From shelf to story.

Lend and return a book

  1. Choose the correct school library.
  2. Open Circulation and choose Check out, Check in or Renew.
  3. Scan or type the physical copy's barcode. For checkout, scan the pupil's admission number or UPN, or find and select the pupil by name.
  4. Leave the due date blank to use the current loan policy, or confirm a specific due date.
  5. Choose Confirm and check the success message before scanning the next copy.

If an ISBN matches several copies, scan the unique copy barcode. If a pupil code is ambiguous, choose the pupil from the name search.

Keep reservations moving

Reserve a title for a pupil in the selected school and optionally set an expiry date. The queue is ordered by reservation time. Checkout fulfils that pupil's active reservation. Returns flag waiting reservations; check the queue before lending the copy again. Cancel a reservation that is no longer needed, or expire it after its expiry date.

Maintain the collection

Managers can add titles and individual physical copies in Catalogue. Use Circulation to mark a copy lost, withdraw it or restore it. A lost loan stays on record until the copy is checked in. An outstanding loan must be resolved before withdrawal.

Check your shelves

  1. Plan a stocktake with a useful name and optional shelf prefix.
  2. Start it and build expected items.
  3. Scan copies and record their found shelf. Review shelf mismatches, unexpected copies and missing items.
  4. Complete the stocktake when checking is finished. Unseen expected copies become missing stocktake items.

Missing stocktake items do not automatically mark books lost. Review the exceptions and take the appropriate stock action separately. Closed stocktakes retain all evidence.

Requests, fines and borrowing rules

Request books in Acquisitions. Managers approve, order and record receipt in sequence, then add received copies with their individual barcodes. Managers can record a reviewed fine or calculate an overdue charge from the policy rate; returns never charge automatically. Record a reason when marking a payment or waiving a fine.

The school policy overrides the global policy. A maximum of zero means unlimited. Existing due dates remain unchanged when a policy is edited.

Reports and privacy

Open Reports, choose filters and preview the matching records before downloading PDF, HTML, CSV or Word. History retains the original borrower name and school. Library access gives the information needed for borrowing; it does not grant access to a pupil's SEND or safeguarding casework.

If a record has changed, reload it and review the current information. A successful confirmation means the operation and its library history were saved together.
